Privacy Policy

This policy explains how Forward Detailing collects and uses personal data when you visit forwardauto.uk, enquire about a service, or book vehicle detailing with us. It is written to meet our obligations under the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

1. Who we are

Forward Detailing (“we”, “us”) is the data controller for the personal data described in this policy. Our studio is at 28 Stort Mill, River Way, Harlow CM20 2SN, United Kingdom.

2. The personal data we collect

  • Enquiry and booking details — your name, phone number, email address, vehicle and service selected, preferred date and time, and any message you send us.
  • Business/fleet enquiries — company name, role and contact details of the person enquiring.
  • Service records — work carried out on your vehicle, notes made by our team, and correspondence with you.
  • Technical and usage data — IP address, browser and device type, pages viewed, referring page and the marketing campaign (UTM) parameters that brought you to the site.
  • Advertising identifiers — Meta advertising cookies (_fbp, _fbc) and hashed contact details used to measure advertising, where you have consented.

We do not knowingly collect special category data, and our services are not directed at children.

3. Why we use it, and our lawful bases

  • To respond to enquiries and provide bookings — performance of a contract with you, or steps taken at your request before entering a contract.
  • To keep service and payment records — legal obligation (tax and accounting) and our legitimate interest in managing our business.
  • To operate and secure the website — legitimate interest in a reliable, secure service.
  • Analytics and advertising measurement (including the Meta Pixel and Meta Conversions API) — your consent, given through our cookie banner. You can withdraw it at any time.
  • Marketing messages — your consent, or the “soft opt-in” for existing customers about similar services. Every message includes an unsubscribe option.

4. Cookies and similar technologies

Strictly necessary cookies and local storage keep the site working and remember your cookie choice. Analytics and advertising cookies are only set after you accept them in our cookie banner. You can change or withdraw your choice using Cookie settings in the footer. Rejecting optional cookies stops optional tracking; you can also block cookies in your browser settings.

5. Who we share data with

We share personal data only with providers that help us run the business, under contracts that require them to protect it:

  • Our website hosting and database provider;
  • Messaging tools we use to receive booking notifications (including Telegram);
  • Meta Platforms, for advertising measurement, where you have consented — contact details sent through the Conversions API are hashed (SHA-256) before they leave our server;
  • Our accountants, insurers and professional advisers, and law enforcement or regulators where we are legally required to do so.

We never sell your personal data. Where a provider processes data outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Addendum to the EU Standard Contractual Clauses.

6. How long we keep it

Enquiries that do not become bookings are kept for up to 24 months. Customer and service records are kept for 6 years after the last service, in line with HMRC record-keeping requirements. Website analytics data is kept in aggregated or pseudonymised form for up to 26 months. We delete or anonymise data once these periods end.

7. Your rights

Under UK data protection law you have the right to:

  • access a copy of the personal data we hold about you;
  • have inaccurate data corrected;
  • ask us to erase data where it is no longer needed;
  • restrict or object to certain processing;
  • receive data you gave us in a portable format, where processing is based on consent or contract;
  • withdraw consent at any time, without affecting past use.

To exercise a right, email info@forwarddetailing.co.uk. We respond within one month. If you are unhappy with our response you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

8. Security and changes to this policy

We use access controls, encryption in transit and role-restricted admin accounts to protect personal data, and only authorised team members can view customer records. We may update this policy; the date at the top shows when it last changed, and material changes will be highlighted on this page.
